Note: There was a confusion around the dates so there was a meeting with Chris and Rachel on the 9th, and then a summary of this and extra discussion with Chris and Matt on the 10th.
DrupalCon Timeline Documents
Work is continuing on the timeline documents, we agreed that we need to have timeframes for both starting to acquire information and timeframes for when it needs to be provided to the event organisers
Mentoring Working Group By-Laws
As part of the initial plan we need to store the group bylaws, and with this in mind we discussed the usage of Gitlab Pages for the display of these and other documents.
Rachel is going to get in touch with Avi Schwab and Neil Drumm as they recently did the same thing for Governance, and get the bylaws document set up as a placeholder first document for the MCWG
Mentoring Event Leads
The different lead roles were discussed, particularly the Mentored Contribution Event Planning Lead.
This is the first Lead role that needs to be decided upon for a given event.
It was agreed that in the case of the Mentoring Team being present at an event, the Planning Lead should be one of the Mentoring Leads.
This is the case due to the fact that:
- The role is accountable for what goes on at the event
- It should be someone who has a lot of trust from the team
For events where none of the Mentoring Leads can attend, we can still provide support, but it would effectively not be an 'official' Drupal Mentoring event, just a community one.
Action and Future Discussion Items
Some of the tasks that we need to keep track of are:
- Mapping out and auditing all Mentoring pages on Drupal.org
- Updating timeframe documents and converting to a spreadsheet including subtask files
- Resolving the calendar for meetings and events
- Agreeing on the Document Store - writing up the proposal
